Program Coordinator

This position is a Program Coordinator role with an emphasis on recruitment matching designed to support a National Bio/Pharmaceutical Client Internship and Co-op Program. Acting as an extension of the Client University Relations team, the Program Coordinator will work closely with Client Sponsor and Client Hiring Managers to successfully match Student applicants to positions in alignment with Client goals and initiatives.
Responsibilities of the Program Coordinator:



  • Account administration, Student selection, Student matching, interview calendar scheduling, Student onboarding and account maintenance activities related to Program management

  • Participate in weekly internal and Client status meetings and provide Program development updates

  • Partner with Client Hiring Managers to develop and post complete Intern/Co-op job descriptions

  • Conduct thorough intake calls with Managers to ascertain specific soft skills and additional Student preferences to ensure appropriate resumes are screened and presented to Managers for review

  • Manage job requisitions/applications, track Students and generate purchase orders in Client ATS, BrassRing and Talent Community, Avature

  • Manage Client referrals to Intern/Co-op application process appropriately and according to Program protocol

  • Respond to Hiring Manager and Student inquiries in an efficient and timely manner

  • Conduct preliminary screening interviews with Students

  • Match qualified Students against requisitions and coordinate interviews between Managers and Students, providing all necessary contact information and preparation materials

  • Facilitate Offer Letters for selected Students; ensure Students execute and returns to Client

  • Facilitate and track Student on-boarding activities, including offer letters, pre-employment screenings, space planning and provisioning logistics; ensure Students urgently execute required items

  • Partner with Client to design and administer surveys to be issued to both Managers and Students to gather valuable feedback and craft future Programs

  • Provide assistance with projects assigned by Internal Atrium Program Manager as needed

  • Provide suggestions for continuous Program improvement

  • Urgently route Client requests/escalations to Atrium Program Manager according to Program protocol


Qualifications for the Program Coordinator:



  • Two years progressively responsible work experience, preferably in account management; exposure to recruiting, HR or talent acquisition a plus

  • Candidates must be professional self-starters who can work independently, as well as collaborate with Internal Atrium team, external Client and Students

  • Excellent written and oral communication skills are required, along with a positive, friendly attitude considering the role is grounded in Client and Student interface

  • Strong time management, attention to detail and the ability to work in a fast-paced, deadline-oriented environment

  • High level of professionalism; excellent communication and organizational skills

  • Ability to demonstrate excellent customer service

  • Proficiency in Microsoft Office, especially Word, Excel and PowerPoint

  • Experience in Recruitment, HR management, VMS or ATS systems a plus

The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
